Suggestion

  • Set-up checking and savings account with audited money from the previous year
  • Set-up bank accounts in the President, Vice President and Treasurers name – two names required on checks.
  • Deposit money/dues in checking account.
  • Pay all authorized bills for speaker expenses.
  • Membership dues are to be paid by July 1st of each year.  Treasurer is the Custodian of all State, Federal Registration Documents, 501C-6 Papers, Insurance Documents, Tax Forms and Returns.
  • The Treasurer should provide for an orderly transition of the books to include all of  the above documents.  Change of Signature Cards need to be prepared in advance.
  • Treasurer report should not be involved and lengthy, but concise and informative.
  • The Treasurer will be Custodian of the credit card machine and all materials related to them.

Duties of Secretary

Responsibilities

  • In the absence of the Executive Secretary take minutes at the Board Meeting
  • Conduct such correspondence for the Society as required
  • Handle the distribution of ballots at election of officers and directors
  • Handles Lending Library
  • Handles Print Competition

Organization

  • Keep records of correspondence, minutes, etc at your own discretion
  • Secretary must have minutes available at all Board Meetings either in person or brought by someone else if unable to attend.  Printed copies are preferred.
  • Copies of all minutes should be kept and turned over to the next Secretary.
  • Secretary will perform all duties of Executive Secretary in the absence of that person.

Duties of Vice-President

Responsibilities

  • The main responsibility is to schedule all regular program speakers.  All Speakers for the year should be lined up before the first meeting date, if possible.  Follow up and provide the speaker with equipment they need and make any arrangements for meals, hotels, etc.
  • If the President is absent at any meeting it is your responsibility to act in his/her behalf.
  • Provide Editor of Newsletter information on speakers, dates, etc.
  • Order Merits for Speaker
  • Make sure Speaker expenses are taken care of.

Financial Requirements

  • Work within the Budget for Speakers

Organization

  • Keep records of correspondence, minutes, etc at your own discretion.

Suggestions

Correspondence

  • Forms are provided for correspondence on Speakers appearance.  Travel arrangements, necessary props and equipment.
  • Keep in touch with the President as to meeting dates and any special problems.
  • Give Speaker info to Newsletter Editor
  • Make dinner reservation for Speaker and any hotel arrangements.
  • Contact individuals who can help with props or necessary equipment for Speaker.
  • Obtain PPA# from Speaker – advise PPA for Merits
  • Contact Treasurer for payment of Speakers expenses.
  • Vice President is custodian of all merit forms and requests them as necessary from PPA.  To include the President’s merits and assist with all awards and honors.

Duties of President

  • Oversee the functions of all the Board Members and projects.
  • Organize and control all Board and Business Meetings
  • Arrange for the meeting places and dinners.
  • Provide a “Message from the President” for the newsletter
  • Select and oversee all committee Chairs.

Organization

  • Keep records of correspondence, minutes, and bulletin – at your own discretion.
  • Set a deadline for all programs to be scheduled for the up-coming year – advise VP of this deadline.
  • Verify with the VP to be sure that all the arrangements have been make for the monthly speaker (equipment)
  • Set a deadline for the “President’s Message” to be given for the Newsletter
  • Set an adjournment time for all Board Meetings.  If business is not complete by “time” – schedule for another meeting.
  • Make sure the Board meeting runs smoothly and everyone sticks to the Agenda.

Correspondence/Telephone Calls

  • Contact the VP about Programs
  • Notify Executive Secretary of meetings dates
  • Notify Newsletter Editor of meeting dates and be sure they receive the “President’s Message”
  • Contact meeting location to confirm reservation.

Duties for Chairman of the Board

 Responsibilities

  • Help President with responsibilities
  • Attend Board meetings as an Ex-officio director
  • Serve as Chairman of the Nominating Committee and run elections at May meeting
  • Has the right to make motions, second them and has voting rights

Organization

  • Keep records of correspondence, minutes, etc as your own discretion.

Suggestions

  • Communicate to the President and Board members experiences in running the organization and help out in needed areas.
  • You are the most experienced Board Members – attend meetings regularly and do hesitate to speak up.
